First Delivery Service currently has a position for an experienced Operations Supervisor. Primary Responsibilities include: Operations Scheduling & Supervision To smoothly run the operations of delivery service providing for coverage 24 hours a day, 7 days a week, using the contract drivers and dispatchers and providing for backup driving and dispatching as necessary. This includes managing driver and dispatcher schedules, and assuring adequate coverage for all shifts, making adjustments for planned and unplanned absences. This also includes maintaining accurate contact information for drivers, dispatchers and customers and creating new procedures and processes for new customers and cities as needed. Hiring & Training Drivers Routine duties also include; posting ads; conducting interviews for new drivers, selecting and training drivers in standardized operating procedures, and providing company orientation. Delivering Customer Service It is the Operations Supervisor’s responsibility to: • Resolve customer problems as the first line responder and develop and maintain positive relationships with potential and current customers, employees and contractors while ensuring the highest level of service to customers. • Remain calm under stressful situations and resolve issues positively for all participants (customers, drivers, airlines, TSA, dispatchers, and the company). • Motivate people and maintain productivity and self-esteem while working in a respectful manner with diverse groups. • Be flexible and adjust to changing customer needs and business conditions. Establish new procedures in accordance with the President; document and communicate changes. Dispatcher The operations supervisor will dispatch as needed and will be on-call as a first responder for evenings and weekends to assist in resolving issues and problems. He or she must be able to perform all duties of a dispatcher including responding to customer requests by phone, fax, and computer, taking complete and legible delivery alerts, working quickly to assign drivers using strategic thinking to maximize driver coverage, making sure all deliveries are completed per standard operating procedures and completion of all related paperwork. The dispatcher must assure all deliveries are dispatched in compliance with all TSA and other agency regulations. TSA Compliance (Transportation Safety Administration) It is the Operations Supervisor’s responsibility to act as “TSA Compliance Coordinator” for First Delivery assuring that all First Delivery procedures are in compliance with TSA regulations and other agency requirements. This includes: • Maintain complete and up-to-date training records and keep them locked • Train new drivers and dispatchers in TSA procedures and changes to procedures, and perform annual update training • Conduct Security Threat Assessments (STA) with new drivers by gathering information and entering it into the TSA data base. • Record STA identification number in records and pass date as soon as received • Monitor the TSA website regularly for changes to regulations. Read all alerts and make necessary changes to First Delivery standard operating procedures to be in compliance with regulations • Verify customer IAC forms on file are current and address needed changes with customers. • Maintain good relationships with TSA representatives Oversee Logistics • Establish internal procedures and controls to assure compliance with all logistics requirement for customer satisfaction. This includes inventory control, warehouse maintenance; acceptance of all incoming parts, pulling and recording parts and assisting the warehouse coordinator with inventory when needed. • Assures that all records are accurate and billing is complete and accurate. • This job requires a well-organized, neat, precise and detail oriented person to control the inventory; assuring availability of parts and accurate inventory for customers. Qualifications • 3 years Experience in Operations Supervision required • Experience in on-demand delivery service preferred • Excellent communication skills both verbal and written • High degree of initiative and problem solving • Able to coordinate complex schedules and adjust work assignments • Able to establish processes and document procedures • Able to follow standard operating procedures consistently with attention to detail • Able to motivate and manage people to maintain productivity and self-esteem • Must qualify for TSA certification and pass all tests This position is full-time salaried. First Delivery Service provides a 401K plan with employer contribution of 3% of salary (automatically) annual bonus plan and profit sharing.
